Home Estate Agents Coronavirus BCP

 

In light of the ongoing situation relating to the Covid-19, we wanted to let you know about the steps we are taking to ensure we support all our Landlords, Tenants, Vendors and Purchasers during this time.
We are working harder than ever to maintain the best possible service during this current time.
Our experienced team are working remotely and are fully contactable via email (messages@home-estateagents.co.uk) and telephone (01925 405400).
In response to the risks posed by Coronavirus, please see below details of our Business Continuity Plan. This plan is continually evolving and is subject to change, so please check back regularly (last updated 25.9.20).

In addition to current government guidence and legislation, please also note the following 3 points with regards to our business:
1. Visits to the office are by appointment only as we may be working from home when you intend to visit. Please call us on 01925 405400 to arrange so that we can ensure that someone will be present in the office.
2. All visitors must wear a face covering when entering the office building. This is a policy of building management

 

**UPDATE 14.5.20**

The government has amended the coronavirus (COVID-19) regulations to make clear that people who wish to move home can do so. This guidance provides important public health information to ensure that moving home and key activities around this, such as viewing property, can happen safely. In the meantime, please also note the following:
 

1.       Our office will continue to be mostly closed, for the time being, with our staff working remotely;

2.       If you wish to visit our office, this has to be by appointment only, though there are many other ways of contacting us;

3.       Whilst the government advice is that house moves can go ahead, but these may have to be delayed, for example if someone becomes ill with coronavirus or has to self-isolate;

4.       With property viewings, the advice is that people should use virtual viewings before visiting properties;

5.       No physical viewings can take place if any member of either the household being viewed, or the household undertaking a viewing is showing symptoms of coronavirus or is self-isolating;

6.       If your property is being viewed, you should open all the internal doors prior to the viewing, and allow access to handwashing facilities and ideally separate towels/paper towels.

7.       All viewings should take place by appointment and only involve members of a single household.

A)     General BCP measures

As part of our business continuity plans (BCP), we have clear and up-to-date BCP escalation plans in place. This will ensure timely communication to office staff in case we need to invoke a BCP plan.
We have re-appraised ourselves of our BCP procedures and understand our responsibilities.
 

B)     General public health measures we are observing

A full programme of communication to all our people through email, phone and communications-cascade, to observe the enhanced public health measures at all times:

‒Regularly wash hands with soap and warm water for the time it takes to sing “happy birthday” twice as recommended
‒Carry a tissue at all times. Catch coughs and sneezes in a tissue and throw the tissue in the bin (Catch It. Bin It. Kill It)
‒Avoid touching your face
‒Avoid greeting by shaking hands or ‘kissing on cheeks’
‒All staff to be communicated with in an open and clear manner to encourage those with specific health concerns to raise them
--Maintain a distance of at least 2 meters from others at all times.

We ask that, during the current period of Lockdown, you do not attempt to visit the office.
 

C)      If we have a suspected case of Coronavirus at Home Estate Agents

If the suspected case is a member of the HOME team they will self-isolate immediately.
If the suspected case is a member of the public or a client we will support the individual and co-ordinate, however is required.
We will liaise with the local NHS Public Health Protection Team.
As the office is in a multi-tenanted building we will notify the building management team and follow advice.
Please note that the Home Estate Agents office is currently closed until further government guidence is received.

Public health measures will be emphasised:

‒Keeping clean hands
‒Catch It. Bin It. Kill It
‒Using video conferencing wherever possible
‒Using anti-bac spray at workstations
‒Using anti-bac hand gel

We will keep in regular contact with the individual to ascertain their medical diagnosis
 

D)      If we have a confirmed case of Coronavirus at Home Estate Agents

The individual should follow medical advice.
Our BCP plan will be activated.
We will liaise with the local NHS Public Health Protection team.
As our office is in a multi-tenanted building we will notify the building management team and follow advice.
Analysis of who the person has worked closely with in the period immediately prior to diagnosis / self-isolation.
 

E)       Suspected case of Coronavirus in a building we manage

Follow Guidance of Section C1 – C3.
All tenants will be notified.
Building owner will be notified.
Current guidance from the government is that the building should remain open and business will continue as usual.
Public health measures will be emphasised to all visitors and users of the building:

‒Keeping clean hands
‒Catch It. Bin It. Kill It
‒Using anti-bac wipes at workstations
‒Using anti-bac hand gel

We will keep in regular contact with the individual to ascertain their medical diagnosis
 

F)       Confirmed case of Coronavirus in a building we manage  

Follow Guidance of Section D1 – D3.
All tenants will be notified.
Building owner will be notified.
Analysis of who the person has worked closely with and the areas of the building they visited in the period immediately prior to diagnosis/self-isolation.
Current guidance from the government is that the building would need to be deep cleaned and sanitised. This may require us to close / restrict access.
Gain building owner permission to organise necessary cleaning.
Keep in regular contact with tenants.
 

G)     BCP for a short period of a Home Estate Agents office closure

All currently working Home Estate Agents staff have a laptop and smartphone.
Skype and VPN technologies mean that our teams are able to access teams and all Home Estate Agents business systems remotely.
Our team will remain productive and still be able effectively to support our clients.
We utilise VOIP Technology so all calls during office hours will be dealt with effectively.
All impacted clients, employees, contractors, and where relevant, members of the public will be notified of the closure.
